6. Booking & Payment Platforms

Our online booking and payment systems are managed through trusted third-party platforms to ensure secure and efficient service.

  • SimplyBook.me is our booking management system. Your data (name, contact, booking history) is securely stored on their servers in the EU.

  • Stripe handles all online payments on our behalf. We do not store your credit card details.

Both act as data processors under GDPR, following strict security standards.

Our booking services are operated through SimplyBook.me, an external online platform that processes certain personal data (such as your name, contact details, and booking information) on our behalf.

7. Communications & Newsletters

  • We may send you updates about your bookings, studio changes, or upcoming events via email or WhatsApp.

  • You can unsubscribe or opt out at any time by replying “STOP” to WhatsApp messages or using the unsubscribe link in emails.

  • Promotional newsletters are sent only with your consent.

8. Data Sharing & Storage

Your data may be shared only with trusted providers who help us operate safely:

  • SimplyBook.me (bookings)

  • Stripe (payments)

  • Ionos / WordPress (hosting)

  • Meta, Google Ads, Google Analytics (marketing and analytics)

  • Internal business tools (e.g., Google Drive, spreadsheets)

We do not sell or rent personal data to third parties.


9. Data Retention

  • Member and booking records: retained for up to 5 years for tax/accounting compliance.

  • Communication records: retained for 12 months after last contact.

  • Marketing data: until you withdraw consent.

  • Analytics data: automatically anonymized and aggregated.

ClayCave Coworking maintains profiles on Facebook and Instagram.
